AI vs. Automation vs. AI Agents

These three terms are often used interchangeably. They are different tools, and good business systems use each one where it fits.

Three different tools

  • Automation: "When X happens, do Y." Fixed steps that run the same way every time.
  • AI: interprets information where the answer cannot always be determined with a simple fixed rule — for example, reading an email and deciding what it is about.
  • AI agent: interprets a situation, selects among permitted actions, uses tools, and continues through multiple steps toward a defined objective.

A practical example

  1. 01New email arrives → automation
  2. 02Decide whether it is a lead, complaint, invoice, or other request → AI
  3. 03Retrieve relevant records, determine next permitted steps, update systems, create follow-up → agent / workflow
  4. 04Require approval before a high-risk action → fixed business rule

Good AI systems do not use AI for everything

Use conventional, predictable software when the result must always be the same. Use AI where interpretation, language understanding, or judgment adds value. An agent should only be able to take the actions it has been explicitly permitted to take.
